Retail POS Management Software – Features and Operating Guide

Retail POS Management Software is a Windows-based application designed to manage retail sales, inventory, purchases, customers, payments and reports from one system.

The software works offline using a local SQLite database and is designed for Windows 10 and Windows 11 64-bit systems.

Main Features

Dashboard

The Dashboard provides access to the main sections of the software:

  • Dashboard
  • Billing
  • Stock
  • Reports
  • Settings

Billing

The Billing section supports fast point-of-sale transactions through:

  • Barcode and SKU scanning
  • Product search and category filters
  • Product cards with stock indicators
  • Cart quantity and discount management
  • Customer selection and quick registration
  • Held carts
  • Cash, card, UPI, QR, credit and split payments
  • Receipt preview and printing
  • Invoice cancellation or voiding

When an invoice is voided, the sold stock is restored.

Stock Management

The Stock section allows users to manage:

  • Product Master
  • Product categories and units
  • Product information
  • Inward purchase entries
  • Purchase history
  • Multiple price batches
  • Supplier returns
  • Stock-out records
  • Manual stock adjustments

Stock-out transactions can be recorded for reasons such as damage, expiry, store use, supplier return, loss, shrinkage, theft, sample or promotion and audit variance.

Multiple Price Batch Handling

The software supports different prices for different stock batches. It follows an older-price-first or FIFO-like workflow.

Older stock is used before newer stock. When the older batch reaches zero quantity, the next price batch becomes active.

Reports

The software provides six main reports:

  1. Sales and Revenue Transactions
  2. Purchase and Inward Stock
  3. Stock-Out and Loss
  4. Stock Movement and Inventory Audit Trail
  5. Product Master and Inventory Valuation
  6. Gross Profit and Margin Analysis

Reports include date filters and can be exported to Excel.

Settings

The Settings section includes options for:

  • Store name, address and phone
  • Currency configuration
  • Login and password protection
  • Emergency security key and password reset
  • Database backup and restore
  • Transaction data reset
